POST-EVENT TO-DO

Ok guys (& gals, évidemment)! What's next? Sylvia here. I think this website needs a little TLC... Do we do a cleanup of everything "past", hopefully creating an archive of all the to-do's that were here, so that the Next RoCoCo (& any other similar conference) will have a ready-made "check list" and "to do's and don'ts"? I guess we wikians might simply say: we can always go into the History to revive any memory of what things looked like before, yet "user expce, user expce", i'm not sure all users will necessarily have that reflex! ;-) Anyhow, so I would suggest erasing what's here and creating a page that's labelled "Step-by-Step Lead-Up/Last-Minute Preparation of RoCoCo 2007" or something. We could have an ACTIVE PAGE OF TO-DOs... Would make sense.

My wants: - to get in touch w/ either Mélanie (=video girl @ la SAT) and/or Anne/Antoine, to EDIT SOME MORE VIDEO :-) (when i ahve time for that, i don't know, yet i'd like to do some video editing) - Add all my "aha!'s" & eureka moments to the various notes of the circles i attended (like in particular Maj's on wiki nomenclature & searchability -- the comparison of the uses/functionality of flickR vs. other search engines -- diff. purposes--> diff. architecture).

Deb here: there will probably be a retrospective at WikiWednesday in Montreal (June 6th?) so you could forward reflections to Evan, Antoine and Anne, or create a "retrospective" page and list what worked and what didn't, then let them know.

So, this is the list of things to think about that came from the "lessons learned" session at Portland RCC 07, roughly in order of importance.

  1. Aspirations, goals. The event has to have a point.

  2. CoConveners. There should be a small group of people who take responsibility for the event. This can vary from just acting as an "inviter" to other people, to taking responsibility for more organization. We had a question whether a single person needs to be the ultimate responsible person. Even though they aren't in charge of anything, they can coordinate volunteers and other co-conveners, and at least make connections between people. Someone called it an "un-leader".

  3. Space. It has to be somewhere. It seems like we have SAT for the space, which will be great.

  4. Participants. One of the big regrets that RCC 07 organizers had was that they didn't identify and invite potential participants in time. It would be good to fill out the

  5. Money. Things have to be paid for. Another regret was not contacting potential sponsors early enough that they could make decisions over a period of weeks rather than hours. "We need $1000 and we need it now" is pretty hard to say yes to.

  6. Insurance. This was a big cost for both RCC 06 and 07. I've had experience getting insurance for Ignition and it can be a pain sometimes. It might be something to talk to SAT about.

  7. Food (or not). This was a biiiiiiiiig issue at RCC 07. At the very minimum we should have coffee and tea for everyone. We can also have "snacks" -- fruit, pastries, soft drinks and bottled water. Another step up is having one or more full hot meals. There was some discussion at RCC 07 whether it was better to have people go find restaurants at lunchtime (like 06) or whether to have hot meals at the venue (like 07). The general consensus was that it'd be nice to have a mix: do a hot meal on the first day while out-of-towners get to know local people, then on the following days let people go explore the city for an hour with their new friends.

  8. Facilitator + process. Our overhead here is pretty low, but we'll need to have an Open Space facilitator for the event -- someone who leads the big circle. We may want to ask someone who's not part of our community, so they can have a little objectivity and really step aside. (This seemed to work really well at RCC 06).

  9. Communications. This is having a wiki, a mailing list, IRC channels, etc. I think we're doing pretty well here.

  10. Registration. Welcoming people the first day. Badges, stickers, etc. This is a big job.

  11. WiFi. RCC 07 had the local WiFi group, Personal Telco, do the WiFi for them. This may be something we get SAT to do, or Île sans Fil.

  12. Schwag. Some kind of souvenir, like bags, t-shirts, vests, other. People love having this stuff, but we'll need a design.

  13. Press. It can help to have some press coverage, especially on the first day. It energizes the group, and it can alert some non-participants who can come the 2nd or 3rd day (or next year).

I'll try to integrate this list into some sections above, or maybe even make one page for each.

Maybe we could move some of the stuff in here to the FrontPage (and PageD'Accueil) so that it gets more exposure? I'm worried about having to translate the todo list and the coordination pages, but I think it would be a good thing to allow people in all languages to participate... -- TheAnarcat 2007-02-08 19:49:39 EST
